Suitcase & Stay, LLC is a small vacation rental company around Lake Cumberland, Kentucky. This policy explains what our website collects, why we collect it, and where it goes. It covers suitcaseandstay.com, including the Cedar & Sage page at suitcaseandstay.com/cedarandsage/, and our guest welcome book at cedarguide.suitcaseandstay.com, which has no forms.

The short version: we only collect what you choose to send us through a form or the chat, we use it to answer you and to improve our answers, and we do not sell it.

What we collect and why

Our forms

Our forms are handled by Netlify Forms, and Netlify stores what you send.

• Contact form (home page): your name, your email, whether you are a homeowner, a guest or something else, and your message. We use it to reply to you.
• Enquiry form (Cedar & Sage page): your name, your email, the dates you have in mind and your message. We use it to answer your question about a stay.
• Early interest form (Cedar & Sage page): your email address only. We use it to send you a note when good dates open up. If you no longer want those notes, tell us and we will take you off the list.

Each form also has a hidden field that blocks spam bots. People never see it, and it is not used to identify you.

Basic technical information

Like any website, when you visit our pages your browser sends basic technical information, such as your IP address and browser type, to the services that deliver the site. We do not use it to build a profile of you.

The chat assistant

Our website has a chat assistant that answers questions about our homes and stays. It is an AI assistant, powered by Anthropic's Claude and reached through Netlify's AI Gateway.

• When you send a message, it goes to the AI model so the model can write an answer.
• We save chat conversations (your messages, the assistant's replies, the page you were on and the time), stored with Netlify, so we can see what guests ask and improve our answers.
• While you chat, your browser keeps the current conversation in its session storage for that tab, so the chat can carry on. Your browser normally clears it when you close the tab.
• The assistant can look up open dates and nightly prices from our booking calendar. It cannot see any guest information, including yours.

Please do not share personal details in the chat, such as payment information, your home address or details of a reservation. The chat reminds you of this too. For anything about an existing reservation, message us through your booking and a real person will answer.

Where your information goes

We use a few outside services to run the site. Each one handles information under its own terms and privacy policy.

• Netlify hosts the website. It stores form submissions and saved chat conversations, and its AI Gateway passes chat messages to the AI model.
• Anthropic provides Claude, the AI model that writes the chat assistant's answers. Your chat messages are sent to Anthropic through Netlify's AI Gateway to produce each reply.
• Hospitable runs our direct booking site at book.suitcaseandstay.com. When you book there, Hospitable collects your booking and payment details under its own terms and privacy policy. Payments are processed there, not on suitcaseandstay.com. We receive the reservation details we need to host your stay.
• Airbnb has its own terms and privacy policy, which apply if you book through Airbnb.
• Google Fonts supplies the fonts on our pages, loaded from fonts.googleapis.com. When the fonts load, Google receives your IP address.
• Google Search Console shows us how the site appears in Google search results. It does not run any code on this site.

How long we keep it

We keep form submissions and chat conversations as long as we need them to answer you and to improve our service. You can ask us to delete yours at any time. Our outside services handle any copies they keep under their own policies.

We do not sell your information

We do not sell your personal information, and we do not share it with anyone for their own marketing. We share it only with the services listed above so they can run the site for us, or when the law requires it.

Cookies and browser storage

We do not use advertising cookies, and we do not run third party analytics on this site.

The chat uses your browser's session storage to keep the current conversation going in that tab, as described above. It is not used to track you.

Our booking site run by Hospitable, and Airbnb, are separate sites and may use their own cookies under their own policies.

What is recorded outside the house

This part is about our rental home, Cedar & Sage, rather than the website.

Exterior security cameras cover the driveway, the front entrance and the rear of the house. There are no cameras or recording devices of any kind inside the house, and no camera views the interior.

Children

Our website is meant for adults planning a trip or looking after a home. It is not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information, email us and we will delete it.

Seeing or deleting your information

Email us at info@sextonsky.com to ask what we have about you, to correct it, or to delete it. We may ask you to write from the same email address you used, so we know the request is really yours. We will reply as soon as we reasonably can.

If you have stayed with us, we may need to keep some booking records for tax or legal reasons.

Changes to this policy

If we change how we handle information, we will update this page and the date at the top.
